Technical Writing: Not Everyone’s Cup of Tea

Technical writing is a way of expressing a technical concept in the form of words so that it reaches a wider amount of audience. It is basically a form of technical communication which is made use of in miscellaneous fields like consumer electronics, computer hardware, chemistry, biotechnology, robotics, aerospace, computer software etc. One should never mistake technical writing with other forms of content writing. Content can be about anything. Technical writing involves the technical aspects of various goods, machines and is basically written with highlighting all the technicalities. One needs to have a flair for technology and it is only then that the person can contemplate technical writing.

Writers whose forte is technical knowledge often write on topics like information development, technical publication and technical documentation. To become a prolific technical writer, one needs to have the charisma to explain something very complex to both technical and non-technical readers. One can extract technical information from journals, magazines and lots of technical documentation. Apart from having good writing skills, the writer needs to be completely in sync with recent technical up gradations.

Be it writing a book on the latest satellite or explaining NASA’s first expedition in space, the technical writer needs to have a capability of capturing the reader’s attention so that everything that has been published or printed seems to be extremely captivating. All the aspects need to be correctly mentioned and the facts and figures have to be accurate as the readers should not be given wrong information. This is one of the most crucial aspects of technical writing that a writer needs to take care of. The writer needs to keep himself/herself updated on all the latest news in the world of gizmos, machines, and everything related to electronic appliances.

So a writer who wishes to explore the technical side of writing has to take these actualities into consideration while writing so that the end product turns out to be nothing less than a masterpiece.

A Copywriter’s Tryst With a Health Insurance Company – Part I

Ever thought what would happen to a copywriter when he is sent by his boss to a company which sells health insurance policies? If you have never thought of such a situation, let me tell you about my story. A couple of months ago when I was very new to work, my boss gave me an assignment to work in which I had to prepare the content for a brochure. The brochure was about a healthcare plan which was being launched by a health insurance company, which I had never heard of. Excited I was with the thought that my boss thought of me as a talented and reliable young guy who could handle such a task. But had I foreseen the misery that was about to come my way, I would have at least argued with him regarding a few things (I am not saying fighting because I had to do it anyway. I am being paid for it, remember!!!).

Much to my dismay, I was told to go and meet the client whose workplace was at Gurgaon. In the month of August, the sun god develops a very tyrannical attitude towards New Delhi as the city keeps burning throughout the afternoon in heat. My boss was generous enough to lend me his car so that I did not have a problem commuting in the sweltering heat. To be honest, his generosity took me by surprise. So here I was thrilled about my first meeting with a client. The roads of Delhi are such that even a skilled driver would start scratching his head because of frustration. Being a mediocre driver myself, I somehow managed to reach the office on time, fully prepared for a rendezvous with the assistant vice president of the company.

The problem with this lady was that whatever I wrote was rejected just like those defective mobile phones which are sent for replacement. Sometimes one is left with no choice except for enduring the misery that one never thinks of. I was in such situation. But I have always been brave, ready for challenges. I felt like a zombie put on auto-pilot who was simply supposed to follow instructions. We called it a day in the evening and I left. Petrified at her audacity, I was really taken aback when I was told that she wanted me to come back every day to finish everything as if judgment day was nearing and she would be heavily penalized for not performing her obligations properly. What initially started as content for brochure snowballed into something which I had never expected. She wanted me to write content for the website that the company was launching. I was left perplexed and felt like a wounded soldier who was left to the dogs. My gut feeling kept telling me that she had full plans to take me on a royal ride. A week had gone by and I kept going to Gurgaon for her work. That is when my boss and I decided that it was high time that we put our feet down and make our intentions clear. I would not be going there anymore. Whatever had to be done would be done from our office.

The saga is not finished. The company where she works is planning to launch another plan. I have been given the responsibility to prepare content for that. Work is still in progress so there is not much to write about as of now. But, wait. Keep watching out for more. I am not finished with this yet!!!

Ways to improve Search Engine Rankings

It is very unfortunate that people without thinking twice launch a website and then struggle to look for ways for improving the page rankings. Pages are being designed which contain attention grabbing material that might run out of gas after some time. Such situations will keep occurring as long as people prefer everything on their websites except for genuine content. The old age theory goes, “first deserve, then desire”.

It is very hard to explain it to all these so called ‘budding entrepreneurs’ that content is something without which a website would look as if a cow is being made to dance on ice. Still, being one of those few responsible writers that I am, here is a sincere effort in telling all those promoting their sites to keep the content legitimate and concise so that they can finally achieve what they are aiming for ( With all humility, I beg for forgiveness if I sound pompous. But it really frustrates me when people keep whining. I am just trying to bring them on track).

The ground rule is that articles have to be written in order so that one can make good use of the article directories. Now for all those who do not know what article directories are, these directories are unarguably the most useful and influential online resources we have. The role that article directories towards articles is a replica of the role that the website directories have towards websites. Through these articles, a person can promote everything that exists on his/her site. One has to write in such a way that the masses are automatically attracted to the essence of the content. A writer’s craftsmanship should be such that the title of the article itself should convey what is about to come the reader’s way. Craft your article in such a way so that when someone searches for a keyword, yours appears on the top with very less competition. The lesser the competition is, the more are the chances of the rankings shooting to further heights as your website has a concrete chance of being there at the top.

Tell the user wit the help of your words regarding the ways in which he can put your article to good use which would benefit him. The structure should be such that the reader should not think twice before reading what you have written. So focus on the matter rather than beating around the bush. Once you have the gun which is the content in this case, there will be no dearth of bullets which is reference to the marketing strategies that need to be implemented. Follow this simple rule and see your website rise to meteoric heights within no time.

Trouncing some common mistakes while writing

Writing is a learning process. Every writer comes across something new every time he/she sits to write. All of us are a part of that learning curve. But it does not mean that people start taking it as an alibi to commit mistakes. There are some mistakes which are not supposed to be committed by a writer, be it immature or experienced. These mistakes show the writer in a very negative light as it is taken for granted that there are some standards which everyone is supposed to have who aspires to write anything.

Given below are some points on which a writer should try not to falter:

1) Grammar: A writer whose writings have incorrect grammar tarnishes the image of the piece in the very first impression. Usage of correct grammar is an integral part of writing. Grammar is the base of any form of writing. Without grammar, writing would be hollow. The writer needs to ensure that there are no grammatical mistakes in whatever he has written. Be it the usages of tenses, verbs, adjectives or pronouns, writers have to get all of them in place so that the article does not look shabby or does not give an impression as if it has not been edited.

2) Punctuation: A coma, full stop, hyphen and an apostrophe, each of them have their own place and requirement in a blog or an article. A sensible writer needs to have the instinct to identify the exact context which requires the usage of these punctuation marks. Without these symbols, it would be very tough to make out as to where a sentence begins and where it ends.

3) Clarity: The content that is being written needs to have a message or an idea which justifies its existence. Words need to be mentioned very clearly. There should be no extra effort which might make the article look as if the writer has gone over board to make it special. The reader should get the message in the very first attempt itself without any struggle.

Magnitude of Content

It is very hard to describe the vitality of content in precise words. Some call it the backbone of writing and others say that the kind of content used determines the kind of response a piece of writing gets. You may jumble the words, but the mantra remains universal. You just cannot afford to compromise with the content when you sit to write an article or a blog.

“The content is very important”. The quote has become a cliché which is used very commonly. You might hear it quite often from those whose line of work is marketing. But the fact is that the line has a very deep meaning. Established writers or those who aspire to be one need to know evidently that content is something which cannot be compromised with.

Content is somewhat that is the center of attraction and simultaneously also plays the role of the retainer. Bad content sabotages the aura of an article and turns the reader off so badly that the person might never even consider reading your blog again. The writer has to hit the bull’s eye. It is mandatory. He needs to keep the content flawless as this is what will bring him credibility. Those who have a thing or two for reading stuff on the net can differentiate between good and bad content.

They can do it without blinking an eyelid. The facts and figures mentioned as a part of the content need to be clear, concise and compelling. It has to be packaged in a very convincing manner so that the reader finds it very hard to drift his head away from his monitor screen. The writer has to take pains in analyzing as to what works with the reader and the kind of stuff that excites him.

One has to mould himself and feel like saying that ‘I Work Hard’ instead of saying that ‘I Hardly Work’ and only then will he be able to develop successful content.

Tips for Effective Website Content Writing

Content that has to be prepared for a website needs to be very crisp and concise. People who read articles, blogs and other kind of content on the web generally avoid information overload and prefer to read stuff which is short and informative. So in order to maintain the interest of the reader, a content writer preparing content for the website needs to write as a reader. He/She needs to prepare content in such a way that the reader does not get bored of what has been written. Given below are a few tips for all those aspiring writers who wish to write for websites so that the writings look good and give a very professional outlook.

1) The sentences, words and paragraphs should be short: As they say, keep it short and simple. Short but informative sentences have a huge impact on the reader. They do not let the feeling of boredom sink in and make it an enjoyable outing for the person who really feels like reading in detail.

2) An idea for each paragraph: The number of paragraphs that have been written in any article or blog should contain at least one idea each. The kind of vigor this style of writing has is indescribable as the reader anxiously waits for the next paragraph to begin so that he/she comes across a new idea.

3) Use the Inverted Pyramid style of writing: The Inverted Pyramid style of writing is the one where the most important details are placed at the top and the least important come at the bottom. Readers are very impatient. They quickly want to know the crux of the event without wasting much time on it. This way the reader will read till the time he/she comes to know about the exact details which happen to be written at the top.

4) Usage of simple words: The writer needs to understand that the common man does not sit with a dictionary on his lap to check out the meaning of tough words. So even if the writer’s vocabulary is strong enough that he/she has the potential to pull out a novel, the words have to be kept simple so that the reader does not encounter any difficulty to comprehend the words that have been used.

5) Highlighting certain lines: Certain lines which the writer feels would have an impact on the user should be highlighted in bold so that they become clearly visible. The writer should go with his gut feeling and should write certain lines which are high on impact so that the reader stops for a moment to feel the force of the words. But there is a flip side to it. What the writer is supposed to avoid is the usage of clichés which might make the blog or article look like a copied one.

The points that have been mentioned above will certainly add a lot of depth and potency to the material written and will leave an impression on the reader.
